Roodlane offers a full suite of absence management services, with expertise spanning from day one absence recording through to long term disability case management and ill health early retirement assessments.

We segment this into a cafeteria style offering with the following elements:

  1. Call centre based day one absence recording
  2. Remote case management led by an Occupational Health Nurse Advisor ("OHNA") or dedicated OHNA on-site
  3. Full case management and long term disability & rehabilitation services led by an Occupational Health Physician ("OHP")

These services can be bought independently, combined with each other or dovetailed with your existing services and systems.

Day One Absence Recording

Roodlane's approach to sickness absence recording is proactive, problem solving and commercially aware. Our system has been developed to overcome the delays that result in late analysis and intervention, with inevitable poorer outcomes.

We also recommend that absence is monitored externally to the management structure, as our experience tells us that managers find health issues difficult, emotive and time-consuming.

We have therefore designed a call centre based absence tracking system, "InForm", which can be implemented quickly, efficiently and inexpensively. Employees speak to a real person who will collect the data and inform managers immediately of any absence. The system provides real time reporting and gives immediate analysis which ensures rapid intervention for 'red flag' absences (e.g. musculoskeletal and stress / anxiety / depression). We will work you to make our system match your needs.

Our absence management system has been developed by our own Occupational Health Team and grew from our understanding of what a system needs to deliver. It focuses on the information that actually matters.

It also leaves organisational management free to take appropriate action in cases where the issue is a management rather than a medical one, secure in the knowledge that they have a medical view to support them.

Remote Case Management

Whilst the absence management system can be used as a stand alone recording tool, it only reaches its full potential when "red flag" conditions are referred immediately to a remote case manager. The case manager should have sufficient experience and qualifications to be able to make an initial occupational health assessment; they should contact all employees to gain further information and liaise with HR regarding further courses of action.

Roodlane has a team of OHNA's performing this role. Each client is assigned one or more named OHNA's. The provision of OHNA's is highly supportive to your employees as it identifies staff who need extra help and support. It allows you to focus resources and to deliver them to that employee at the earliest opportunity and in the most effective manner.

Management Information

Roodlane has developed the technology to provide regular management information. This is supported by our own IT department.

Base data is generated automatically and is reported back to you at regular intervals. Your HR team can also access the web based function of the system and look at your own statistics. You can assess data across specific departments and look at where absence 'hotspots' occur and take appropriate action to deal with them. You can also compare your attendance and absence levels on a 'like for like' basis with other organisations. This data is anonymised so that individual employees cannot be identified by anyone not involved in their case management.

A Roodlane remote case manager will also be able to report on use of resources, i.e. referrals to health & safety, EAP, OH Physician ("OHP").

Roodlane acknowledges that the personal data it processes via this application is, and shall remain, the property of the Individual. The Individual has the right to access his or her personal data in accordance with this Privacy Statement at any time. Roodlane shall provide the Individual with the rights of access, rectification, blocking, erasure and/or destruction available under the applicable data protection laws in the UK. Roodlane has in place appropriate technical and organisational measures which mitigate against the risks of accidental, unauthorised, or unlawful processing, destruction, loss, damage, or disclosure of personal data, and also has in place adequate security programmes and procedures to ensure that unauthorised persons do not have access to personal data or to any equipment used to process personal data. Personal data will not be given to any other third parties for any purpose, other than that outlined to the Individual in any consent process.

Confidentiality of patient information is of our upmost concern. Medical information shall be kept confidential and names and addresses are not made available to other organisations. Roodlane Medical Limited undertakes to comply with its obligations under Data Protection Legislation and recognises that it is a Data Processor as defined under section 1 of the DPA. We (HCA International & Roodlane Medical Limited) may use your data to provide you with information about goods and services that may be of interest to you. We may contact you about these by post or telephone. If you are an existing customer, we will only contact you by electronic means (e-mail or SMS) with information about goods and services similar to those that were the subject of a previous sale to you. If you are a new customer, we will contact you by electronic means only if you have consented to this.

We may use anonymised anonymous aggregated medical data for quality control and research or statistical purposes. However, we will not transfer your personal data to any third party for any purpose unless you have consented to the release of such information.

Corporate Healthcare services

Roodlane is custodian of the Individual's occupational health record on behalf of the Client (the employing organisation of the Individual).

If the provider of occupational health services is changed by the Client, subject to prior consent of the Individual, the data shall be securely transferred by Roodlane to the custody of the future provider. Upon termination of the contractual relationship with the Client, Roodlane (or other properly appointed responsible agent) shall hold the personal data on behalf of the Individual where consent to transfer has not been given. Roodlane may hold personal information for as long as it is deemed necessary to do so, having regard to the purposes for which it was collected and for how it might be further processed. Deletion of the data shall conform with Roodlane's Data Retention Policy.

Cookies - what are they?

A "cookie" is a piece of information, which is stored on your computer within the web browser when you visit a website. When the user visits the same website in future, the data stored in the cookie can be retrieved by the website to notify the website of the user's previous activity on the site.

Additionally, this cookie is provided with a unique ID that Google Analytics uses to ensure both the validity and accessibility of the cookie as an extra security measure.
6. __utmb This cookie is used to establish and continue a user session with your site. When a user views a page on your site, the Google Analytics code attempts to update this cookie. If it does not find the cookie, a new one is written and a new session is established. Each time a user visits a different page on your site, this cookie is updated to expire in 30 minutes, thus continuing a single session for as long as user activity continues within 30-minute intervals. This cookie expires when a user pauses on a page on your site for longer than 30 minutes. You can modify the default length of a user session with the _setSessionCookieTimeout() method.
7. __utmc This cookie is no longer used by the ga.js tracking code to determine session status.

Historically, this cookie operated in conjunction with the __utmb cookie to determine whether or not to establish a new session for the user. For backwards compatibility purposes with sites still using the urchin.js tracking code, this cookie will continue to be written and will expire when the user exits the browser. However, if you are debugging your site tracking and you use the ga.js tracking code, you should not interpret the existence of this cookie in relation to a new or expired session.

9. __utmz This cookie stores the type of referral used by the visitor to reach your site, whether via a direct method, a referring link, a website search, or a campaign such as an ad or an email link. It is used to calculate search engine traffic, ad campaigns and page navigation within your own site. The cookie is updated with each page view to your site.
10. __utmv This cookie is not normally present in a default configuration of the tracking code. The __utmv cookie passes the information provided via the _setVar() method, which you use to create a custom user segment. This string is then passed to the Analytics servers in the GIF request URL via the utmcc parameter. This cookie is only written if you have added the _setVar() method for the tracking code on your website page.
11. __utmx This cookie is used by Website Optimizer and only set when the Website Optimizer tracking code is installed and correctly configured for your pages. When the optimizer script executes, this cookie stores the variation this visitor is assigned to for each experiment, so the visitor has a consistent experience on your site.
